Starting on the 2nd of April, the RoomRaccoon platform will be accessible via a new URL: app.roomraccoon.com
(instead of rms.roomraccoon.com)
Why the change?
We’re making this update for technical reasons and to follow best practices. Most apps use “app” in their web address—and now we do too!
What do I need to do?
Nothing major! We'll automatically redirect rms.roomraccoon.com to our new address.
Just one heads-up:
If you use a password manager, your saved login might not carry over. You may need to either:
Use the Forgot Password option
Or update the URL in your password manager to app.roomraccoon.com
And don’t worry— your experience, data, and login details all stay the same.
Spotlight: Pre-authorise credit cards on a zero balance
You can now pre-authorise a custom amount on a reservation, even if the guest has fully prepaid or settled their bill via online check-in. This allows you to hold funds for potential charges such as damages, extra services, or cleaning fees.
Pre-authorise a credit card even if no balance is due.
Ensure funds are available for unexpected costs.
Hoteliers can pre-authorise a card as long as the card remains valid.
Note: A pre-authorisation does not charge the guest but temporarily holds the specified amount, allowing you to process a charge if needed.
This is not available for accounts operating with Peach Payments.

Spotlight: Pre-Stay Reminder Email
We’re introducing an additional automated pre-stay reminder email to keep your guests informed right before arrival!
This email can be customised to include:
Online check-in links for a frictionless arrival.
Important arrival details like parking or entry codes.
Last-minute reminders to enhance the guest experience.
Special offers & upgrades to boost revenue.

Spotlight: Scheduled Payment Request added to rate plans
With the introduction of the scheduled pre-payment request, you can now automate a payment request to be sent to the booker at a set time before arrival — completely hands-free. This can be set up per rate plan.
No more manual pre-payment requests
— RoomRaccoon will automatically send payment requests on your behalf to help collect your pre-payment at the defined lead time before guest arrival.Daily follow-ups until arrival
— If unpaid, the system will continue requesting the pre-payment percentage every day until check-in.Protect against late cancellations
— Ideal for securing revenue, especially if you have a strict cancellation policy (e.g., no refunds within 48 hours of arrival). You can start requesting pre-payments automatically a week in advance to minimise financial risk.

PMS Updates
New Reporting Filter: Cancellation Date
You can now filter by Cancellation Date in your Custom Reports, giving you a clearer view of when cancellations are happening and how they impact your business. This small but powerful update helps you spot trends—like peak cancellation periods or last-minute drop-offs—so you can adjust your strategy, improve policies, or optimise your availability.
POS items in the reservation card
POS items charged to a reservation can no longer be deleted.
If a mistake is made, it must be offset with a negative add-on.
After the add-on is offset within the reservation, users must recharge the correct room with the POS item again.
OTA commissions reflected as payment
OTA commission fees now appear as payments in the reservation.
Hoteliers can choose to keep or delete this payment based on reporting preferences.
Note: Guest payments via OTAs will also continue to be recorded under the Payments section within the reservation.
Simplified Login Experience
If you accidentally copy-paste a password with a space, we’ll automatically remove it for you.
A new eye icon lets you view your password while typing.
Additional VAT Field added in Account Settings for Belgium-based hotels
We’ve now introduced a new dedicated VAT number field at the guest level, accessible in both:
The reservation card in the Guest Details section.
The online check-in form for guests to fill in.
If you wish to activate this new field for online check-in, go to “Guest Details” in your Account Settings.
NIS Report Update (Belgium)
To simplify guest data reporting for Belgian hoteliers, we’ve improved the NIS report in the Reports Module:
Previously, when any of the required guest details were missing, RoomRaccoon used the reservation number as a placeholder, requiring manual corrections before submission to NIS.
Now, if no guest details are provided, the system will default to Belgium (BE) as the country to streamline the export and import process.
Always collect complete guest details via the online check-in form for 100% accuracy. You can activate these fields, making them mandatory for all guests, in your Account Settings.
Marketplace Updates
SaltoKS: Multiple Common Door Codes Per Guest
SaltoKS (Salto Keys as a Service) is a cloud-based access control system that allows hotels and properties to manage keyless entry through digital keys and PIN codes. It provides secure, flexible access management for private rooms and common areas like entrances, gyms, or lounges.
You can now map multiple common doors with unique access codes per guest.
Each guest receives an individually generated PIN for a common door (e.g., gym, shared kitchen), instead of all guests using the same code.
Guests no longer need to remember a shared access code—each gets their own secure entry.
ADFinity Accounting Integration (Benelux)
For hotels using ADFinity, you can now download a full report of all invoices and guest details in CSV format for easier manual uploads to your accounting system.
The CSV file includes detailed invoice and guest data, ensuring accurate financial records in Adfinity.
This allows hoteliers to quickly match RoomRaccoon transactions with bank statements and Adfinity records for reconciliation.
Lightspeed POS full revenue push to Exact Online (Benelux)
All revenue generated through Lightspeed POS (K and L series), including bar and restaurant transactions from both hotel guests and non-hotel guests, is now automatically imported into RoomRaccoon and seamlessly pushed to Exact Online (whether you operate on cash or invoice-based journals).
This ensures smooth, automated revenue reporting, saving you time and reducing manual reconciliation errors.
Twinfield & Exact Invoice Journal Enhancement (Benelux)
We’re giving you more flexibility with how your financial data is managed in Twinfield and Exact Online!
With this update, you now have the option to:
Send Journals: Stick with the traditional flow by sending accounting journals directly to your system.
Populate the Invoice Section: Automatically transfer invoices into your accounting system’s "Invoice" section, simplifying management and ensuring everything is perfectly organised.
This added choice allows you to tailor the integration to suit your workflow, whether you prefer detailed journal entries or a streamlined approach to invoice handling. You’ll have more time to focus on your guests while your accounting stays in perfect order!
INE enhancement (Portugal)
With this new enhancement, hoteliers will now be able to add multiple INE accounts in a single RoomRaccoon account. We know that this is particularly useful for hoteliers running serviced apartments, wanting to connect different individiual INE accounts per apartment (room type).
