As a hotelier, it's crucial to have a clear picture of how much money your business actually brings in and pays out each month. The financial report, also known as a fiscal or annual report, outlines all information and data related to the company’s financial status during the fiscal month / year in question. These reports only include invoices and payments that were created or received in that specific month, regardless of when the guest stayed.
Most countries require that businesses file an annual fiscal report that shares the honest figures of the company’s finances, honestly meaning the actual amount entering and leaving your business account, not the revenue based on stay dates.
The report shows how much revenue you have generated in actuality per ledger (e.g. accommodation, food & beverage, tourism levies) per month, the VAT charge totals and Net Amounts generated per month / year, balanced with the different payment methods used (card, cash, bank transfer, etc.).
In short, these reports are essential not just for compliance, but for understanding the true financial health of your hotel. They help you plan ahead, and ensure transparency in your accounting.
Important to note:
The balances are also categorised per ledger, per month and reflect the amounts according to invoice and payment dates.
The revenue amounts are shown exclusive of VAT and the VAT is shown separately.
The Financial reports reflect actual payments received. These are amounts from paid / unpaid invoices and payment dates (not stay dates)
How to find and use your Financial Reports
Navigate to the Finance Module and navigate to the Financial Report Tab.
You will see your ledgers listed to the left, revenue that has not been allocated to a ledger will appear in the unallocated row.
Fiscal reports can be downloaded per month / year and used for accounting and bookkeeping purposes.
Current Balances
Below the VAT amounts you will find your balances, these automatically reflect your revenue according to the payment methods used to generate them, as well as the amount of City tax charged for each month (this applies to the hotel’s region / country that require city / tourist tax.
The balances are also categorised per ledger, per month and reflect the amounts according to invoice and payment dates
Note that only reservation payments that are reserved, checked in, checked in online, checked out online, and checked out are included.
