Phishing is when criminals send emails pretending to be trusted companies. They want you to click a link, open an attachment, or share passwords and payment details. These emails often look professional, so you must check carefully before acting.


Warning signs of phishing

  • Email asks you to log in, pay, or update details urgently

  • Sender’s email address does not match the real company

  • Links point to strange websites (not the official domain)

  • Unexpected attachments are included


How to check the sender’s email address

  • Desktop: Hover over or click the sender’s name. Look at the full address, not just the display name

  • Mobile: Tap the sender’s name to reveal the full address

  • Be cautious if the address looks unusual (e.g. support-roomraccoon@mail-scam.com)



How to check where a link goes

  • Do not click the link

  • Desktop: Hover with your mouse. Look at the address shown in the bottom corner of the screen

  • Right-click, copy the link, and paste it into a notes app to see the real URL

  • Always type the known website directly into your browser instead of clicking links


How to check the website address

  • Look at the address bar in your browser

  • Make sure the domain matches the company (e.g. roomraccoon.com)

  • Watch out for extra words like roomraccoon-login.com

  • Check for the padlock icon and click it to see certificate details


If you clicked a phishing link

  • Change your password immediately on a safe device

  • Turn on Two-Factor Authentication (2FA)

  • Inform your manager and RoomRaccoon Support

  • Forward the phishing email to data-protection@roomraccoon.com


Best practices for your property

  • Every staff member must have their own login

  • Enable 2FA on all accounts

  • Use strong, unique passwords stored in a password manager

  • Keep computers and browsers updated

  • Train all staff on phishing and cybersecurity
