How to Link Multiple Reservations to an Invoice

Modified on Mon, 14 Nov 2022 at 10:23 AM

On RoomRaccoon you can link multiple reservations to an invoice in the case of recurring guests that come to your property. When you have recurring guests and you want to combine these reservations to one invoice you can do this by linking reservations.

How to link reservations

  1. Open the reservation of the guest's next arrival date.

  1. Click on the 'link' icon of the reservation.

  1. Search the reservation by name or reservation number, select the reservation you want to link and click on save.

  1. You will now notice that an extra bar appears with the date of the linked reservation. Click on this if you would like to change the date or rate type of this reservation.

  1. Click on the “+Add“ button to add another reservation.

  1. You are able to recognise reservations as linked by the indication of the green corner in your reservations agenda.

  1. If you have linked the wrong reservation, click on the unlink reservation button and this will remove the link.

  • There may not be a payment or invoice in the reservation that you want to link, payments can only be placed in the main reservation.

  • The reservation can be linked to reservations booked via an OTA (Expedia and Booking for example) if the reservation you are trying to link was made via the Booking Engine or manually entered in the calendar. The "main" reservation can therefore be from an external channel, but the "sub" reservation cannot. When there are changes on the side of the OTA channel, the reservations can no longer be processed.

  • The reservation you are trying to link must not yet be linked to other reservations. Reservation A cannot therefore be linked to reservation B if reservation B is already linked to reservation C. You can make a link from reservation B to reservation A.

Good to know

  • There should be no payment in the reservation that you want to link as payments can only be placed in the main reservation.

  • The reservation cannot be linked to reservations booked through an OTA (Expedia and Booking.com) if there are changes on the side of the OTA, the reservations can no longer be processed
