Why this feature matters

Traditionally, all RaccoonCardMachine payments were linked to reservations. But what if a local comes in for lunch, a guest books a spa service without a stay, or you need to collect a group deposit upfront?

With this new feature, you can:

  • Capture in-person payments for non-stay services (e.g. restaurant, bar, spa, parking, retail)

  • Handle walk-in charges and miscellaneous services

  • Issue refunds instantly, even for standalone transactions via the RaccoonCardMachine

  • Record all payments in your RacoonPay Dashboard

  • Link payments to reservations retroactively for full visibility

This unlocks new revenue streams, greater flexibility, and a better guest experience—on your terms.

Bring 5-star service to your guests; wherever they are

A customer walks into your restaurant for lunch. No hotel reservation. With this new functionality, your staff can take the RaccoonCardMachine to the table, process the card, and boom—payment is logged and visible in RoomRaccoon.

Even if there’s no room tied to it, you’ll still see the transaction in your RaccoonPay Dashboard. If the person later books a room or service? You can link the payment to that reservation for full financial traceability.

Staff training & reconciliation tips

Because these payments aren’t auto-linked to a reservation, we recommend a few best practices:

  • Save the physical receipts to match payments to services rendered.

  • Link payments to reservations the same day to avoid losing traceability.

  • Decide internally how to track payments not linked to RoomRaccoon (e.g, through a bank terminal or Excel log). We empower you with the tool, you define the operational flow.

This feature gives you more control, but also requires clarity in staff training to avoid misrouted or duplicate payments.

Reporting & financial visibility

  • Payments are included in the “Payments” section of your financial reports (just like any other transaction).

  • They will not be auto-tagged separately yet - we’re gathering feedback from the pilot to inform future reporting updates.

  • You can view all transactions in the terminal’s payment history and RaccoonPay Dashboard.

This pilot is key to shaping how we handle no-reservation in-person payments in reporting—your feedback is essential.

Refunds

Refunds for no-reservation payments work the same way as standard transactions:

  • Initiated directly from the terminal

  • Reflected in RoomRaccoon

  • Trackable in RaccoonPay Dashboard

Important Notes

  • This feature is in active testing and available only through our pilot program

  • No configuration is needed on your side—we’ll enable the functionality remotely

  • Pilot participants will receive dedicated support and can share feedback directly with our Product and Payments teams

  • Payments are visible in the RaccoonPay Dashboard and included in the Payments section of your financial report (not separately tagged yet)

  • No user-based restrictions exist for processing payments on the terminal—anyone with access to the device can take a payment

  • Access to settings and transaction history is protected by a passcode

  • Requiring a passcode for each payment is intentionally avoided to keep the experience seamless and fast.
