In Portugal, submitting the SAF-T file to the Tax Authority (Autoridade Tributária - AT) is mandatory every month. With RoomRaccoon’s PMS, you can easily export the required SAF-T file, as well as an annual audit file if needed.

How to Export

1. Go to the Reports menu in your PMS.

2. Navigate to the Management Reports tab.

3. In the top right corner, select the month and year using the dropdown boxes.

4. Set your desired date range and download the required file.

Available File Types

Monthly SAF-T

• What it is: An XML-format file that must be submitted monthly to the Tax Authority.

• Purpose: Provides visibility to the tax office on all documents issued during the month (invoices, credit notes, etc.).

• Users: Accountants use it to audit and validate company accounting records.

Annual SAF-T

• What it is: Also an XML file but contains data for the entire fiscal year.

• Purpose: Consolidates all issued documents for easier annual financial review.

• Users: Accountants use this for year-end audits and tax compliance checks.

• Important: Must be submitted once a year to the Tax Authority—it’s mandatory.

SAF-T Invoice Details (Monthly)

• What it is: An Excel report that complements the Monthly SAF-T file.

• Purpose: Enables detailed reconciliation and analysis of document lines and amounts. Helps identify any inconsistencies between internal records and data sent to the AT.

• Users: Typically used by accountants and financial managers for in-depth validation.

Each document serves a unique purpose:

• Monthly SAF-T → Month-to-month financial control.

• Annual SAF-T → Yearly consolidation and validation.

• SAF-T Invoice Details → Detailed support and reconciliation.

What to Do If SAF-T Submission Fails

Sometimes, due to the variety of channels and human inputs interacting with RoomRaccoon PMS, SAF-T files may not meet certain technical requirements imposed by the AT, resulting in an error message after submission.

   Share the SAF-T file you attempted to submit.

2. Our team will do their best to resolve the issue quickly.
