Compliance reporting in RoomRaccoon helps Spanish hoteliers meet mandatory guest registration and tourism reporting requirements. It automatically submits guest data to SES.Hospedajes daily and enables manual export of INE-compliant statistics reports.
Compliance is part of the Core Product: PMS, Channel Manager, Booking engine, and payments.
SES HOSPEDAJES (Guest registration)
RoomRaccoon is integrated with SES.Hospedajes, the national police system for guest registration in Spain. This system ensures traveler data is reported to the correct police authority (Guardia Civil, Policía Nacional, or others) depending on your location.
When a reservation is marked as “checked-in,” RoomRaccoon automatically prepares the required data and sends it to the corresponding authority every 24 hours.
Mandatory for all accommodation providers in Spain, including hotels, B&Bs, rural houses (casas rurales), and vacation rentals.
Submission deadline:
Guest data must be submitted within 24 hours of check-in.
RoomRaccoon automatically sends the report once every 24 hours to meet this requirement. For same-day reservations, data is included in the next scheduled submission, ensuring compliance with national regulations.
Guest data includes:
Full name
ID type and number
Nationality
Gender
Check-in date
Any other fields required by local police regulations
GDPR-compliant: All guest data is securely stored and transmitted in line with EU data protection standards.
Exclusion: Currently not available for the Catalonia region (Catalunya).
Tourism Reporting via INE (statistics)
RoomRaccoon enables hoteliers to generate and export a compliant XML report for submission to INE (Instituto Nacional de Estadística), Spain’s national statistics office. This helps you fulfill regional tourism data requirements.
Required for: Most licensed accommodation providers are liable to be selected for submission requirements.
Data includes:
Guest arrivals and departures
Nationality
Demographics
Unit type and occupancy details
Note: This is currently a manual export via the RoomRaccoon platform. Hoteliers must upload the file to the appropriate regional portal (varies by Comunidad Autónoma, e.g., Madrid, Andalucía, Catalunya).
