The Booking Engine Setup Screen

On this screen, you will find everything regarding your booking engine.

Online check-in payment

Not actually a part of the booking engine however it is an important payment option. 

In this dropdown you can either choose to: 

  • Collect payment during the online check-in;

  • Or no payment during the online check-in.

To collect payment during the booking process on the booking engine, navigate to My Property > select the rate type you wish and select how much you would like to take as prepayment. 

Guest Details

Here you can select which details you would like to collect during the booking process in the booking engine. 

City Tax

Here you can choose if you want to display your prices in your Booking Engine including the city tax or if you want the applicable city tax to be shown separately during the booking process.

You can also choose if you want the city tax to be pre-paid.

Add Ons (Prepayment)

You can select if you’d like to include add-ons in the booking engine pre-payment or not. 

Multi Property Dropdown

If you have a multi-property account, you can choose here if you’d like to link your properties in the booking engine as well. This means guests can use a dropdown to navigate between your properties. Find more information on the multi-property booking engine here

Booking times & Guest communication

  • Bookable until: this is the latest time guests can book at your property (in hours). 

  • Maximum bookable stay: how long guests can stay at your property (in days). 

  • First arrival time: what time guests can arrive. 

  • Last arrival time: latest time you allow guests to check-in. 

  • First departure time: add the earliest departure time your guests can check out. This will display on the online check-in.

  • Last departure time: add the latest departure (check-out) time. This will display on the online check-out. 

  • BE minimum initial book days: a setting that allows you to preset minimum stay days on the booking engine. For example; if your property only works with 7-night stays you can preset it here (instead of default on 1-night). 

  • Online checkout link send time: if you make use of the online check-out setting, choose the time of sending out the document here. 

  • Default Booking Engine Adult Guest Quantity: set the default amount of adults in your booking engine. 

Customise the default name of the 'rooms' in the booking engine

If your property does not cater for ‘rooms’ but a different type of unit like for example; apartments, tents etc.

To link the booking engine to your website, we provide you with these widgets.

Booking terms & conditions

If you have certain booking conditions for your guests, you can provide them with that information through this box. Remember to translate this to all languages. 

Alternative properties 

If you have a multi-property account, you can use this option to offer alternative properties in the booking engine when you are sold out on the current property. Find more information on the multi-property booking engine here

Show available units on booking engine 

  • If this box is ticked, it will show the amount of units available per category in your booking engine.

  • If this box is unticked, it will hide the amount of units available (the part in brackets). 

Good to know

  • The guests must confirm that they have read the booking terms and conditions before booking via your booking engine.

  • Your terms and conditions will be provided to guests in every automated email.

  • Other essential conditions to include are your property's rules with considerations on pets, house parties, noise hours, and the expectation of when the air condition should be off.

  • You must also include your check-in and check-out times.

Tips & Tricks 

  • For your Booking Engine to work smoothly, make sure you have translated all your Documents to the relevant languages. 

  • Under My Property, check that you have translated all your individual rates as well. Note: any OTA rates can be excluded. 

  • In addition, make sure the Category descriptions, Room Upgrades (Upsell), and Add-ons are translated.
